As part of a maternity leave replacement (minimum 12 months), we are looking for an organized, resourceful Administrative Assistant who is comfortable managing multiple files simultaneously.

Your role
Reporting to management, you will play a key role in the administrative and logistical operations of the office, while providing essential support to the administrative and project management teams.
Office logistics management
- Welcome visitors and manage the main phone line
- Handle purchasing and follow up with subcontractors (cleaning, handling, IT, etc.)
- Coordinate internal events and support their logistical organization
Administrative support
- Assist the accounting technician, particularly with invoice and purchase order verification
- Update internal policies and processes
- Support the Vice President with various administrative projects (grants, forms, internal files, etc.)
Project management department support
- Manage material orders required for production
- Develop and maintain effective relationships with suppliers
- Negotiate certain supplier agreements when needed
- Perform various checks to ensure smooth operational execution
Required skills
The profile we are looking for
- Diploma of Vocational Studies (DVS) in Administration or equivalent, with significant experience in the field
- Excellent organizational skills and strong attention to detail
- Proficiency in Microsoft Office (Word, Excel, and related tools)
- Excellent written communication skills in French and English
- Clear, professional communication skills, both written and verbal
- Strong autonomy and ability to manage priorities and deadlines effectively
Assets that will work in your favor
- Experience in human resources management and/or project management
- Experience in B2B event management
- Knowledge or experience in logistics, transportation, or customs
